Manage Contract Templates (Overview)
Managing and Creating Contract Templates is a great and easy way for facilities to sign up members, making the process faster and lessening the chance of mistakes being made in the sign up process.
Administration->Agreements->Contract Templates
To access Contract Templates go to the Administration page then under the Agreement section select Contract Templates.
Manage Contract Templates
Now that were in the Contract Template feature enter the desired information into the corresponding fields. This allows clubs to enter the basic parameters for the different types of plans they offer.
Template Name: is the description of the type of plan that is being created. Example: Single 12 Month Fixed
Template Status: indicates this plan is Active or Inactive. If a membership plan is no longer available, the Inactive selection will prevent staff members from selecting the template by mistake.
Membership Type: indicates if it is Open End (no expiration date) or Fixed Term (has expiration date).
Payment Cycle: is defaulted to Monthly but can be adjusted to bill Quarterly, Weekly, Annually, etc.
First Payment Due: indicates if the bill will occur at the beginning or end of a Payment Cycle.
Recurring Payment: is the amount that will be invoiced each Payment Cycle for this type of membership plan.
Initiation Fee: is the amount the club charges for any sign up or registration costs.
Number of Payments Collected: indicates that a payment was/will be taken up front as part of a down payment for the agreement.
Amount Due Each Payment Cycle, Total Down Payment, and Total Sales Price: will be automatically filled in based on the information entered above. In order to make adjustments to these fields, the changes will need to be made to the corresponding fields at the top half of the screen.
Save Template to store the information for later use and repeat this process for all standard membership plans. Once all of the templates have been created, return to the Operations page to add a member with the new template.
Contract Terms
Above is an example of a new members Contract Terms. You can access this section by going to Member Management->Primary->Add.
You can see the very first selection is the Templates section. I have chosen Single 12 Month Fixed template and all information has been automatically filled in based on the information that was entered in under Manage Contract Templates. All that has to be done now is enter in the Down Payment Method and Recurring Payment Method and the contract can be submitted.
