Member Profile Overview (Member Maintenance)

Getting to Member Profile

While on the Operations page, click on one of the options below Member Profile.

Find a Member 1

The Find A Member window allows you to search by Name, Member ID, Account Number, Phone Number, Alternate Account Number, Bar Code, Status, and Membership Code. Using the Phone Number, Name, or Account Number fields are the most common ways used to find a member's account. Enter the relevant search information, and choose Search or hit Enter on your keyboard.

Once you have done that the Search Results will appear. Please select the Member Name to bring up that members account.

Once you have selected the Member Name under search results, all the account information for the Member will appear in their Member Profile.

Tabs

Member Profile is separated into 7 tabs: Dashboard, Membership, Transactions, History, Personal, Medical, Access, and Settings.

Dashboard Tab

The Dashboard Tab displays at-a-glance information concerning the Members: Amounts, Dates, Counts, Messages, and Attendance.

On-hold message and Continue Billing (Dashboard Cont.)

If a member's account is on-hold you will see a Continue Billing link under where their Profile picture should be. You will select this link when you would like the account to resume all billing on the membership.

Underneath the Account section to the left of the screen, the date that the membership was placed on hold will be displayed next to On Hold.

If there is relevant information regarding the hold status of the account, it will be displayed under Messages.

Membership Tab

The Membership Tab displays the member's contract terms, and billing information. This also includes the member’s Registration Code (for Member Portal access), Sales Person, and Marketing Source. This tab also displays the Billing Name (the person financially responsible for the payments) and  Billing Address (the address in which the payment method is attached). The top half of this page contains a brief summary of the current contractual information, and in the top right corner there are further options for Extending Term memberships, and Changing the Bill Date and Payment amount (Note: Changing the Bill Date and Payment Amount will only affect future invoices and billing dates. The Replace function is the only function that allows editing of currently invoiced items.)

Transactions Tab

This tab displays all the transactions that have occurred on the account. If there have been payments, returns, or refunds, this is where they can be found.  

History Tab

This tab is used frequently by eFit. This is where every phone call in which eFit  interacts with a member is notated. It is required and extremely important that every contact  eFit has with a member is notated at the time of contact for reference by the club and eFit. We also highly recommend the club use this page to notate any important interactions with members. Returns, waiver requests, and chargebacks will be notated here as well.

Personal Tab

The Personal Tab contains the Member’s Name, Mailing Address, Phone Numbers, Email Address, as well as optional items the club may choose to keep on record. These optional fields include: Demographics, Employment, and Interests.

Medical Tab

This tab shows Emergency Contact Information, Medical Conditions, Health Insurance, and Doctor Information.

Access Tab

This tab displays the member’s Card Number, Membership Code, Alt Account Number, and PT Pin Number. These fields are optional.

Settings Tab

This tab provides options for the member such as: Phone Preferences and Mail Preferences. For example: If a member does not wish to be called, selecting “Yes” next to Do Not Call will prevent the member from receiving eFit’s phone calls.
